The Client

Sam is the Founder and Chief Instructor of White Tiger Kickboxing Academy in Nottingham. A solo business owner who built her martial arts academy from the ground up, she serves the Carlton area with classes for kids, adults, and families who want to learn self-defence, build confidence, and train in a supportive community.

The challenge

After improving her online visibility and setting up a lead-generation system, Sam started receiving more enquiries than she ever had before.

But this created a new issue: she couldn’t keep up with them all.

Every enquiry needed:

  • a reply

  • information gathering

  • finding a trial date

  • back-and-forth messages

  • manual follow-up

With no system in place, everything lived in Sam’s head. As the volume grew, she didn’t have enough time to contact everyone, meaning potential members were slipping through the cracks.

And if we couldn’t reliably turn these enquiries into trial bookings, all the hard work we’d done to attract leads would go to waste. She needed a way to manage the new volume without drowning in admin and to make sure enquiries actually turned into people walking through the door.

Building a system that could handle growth

To give Sam her time back and to make sure new leads actually turned into booked trials, here’s what I put in place:

  • A simple lead-tracking system
    One clear place where every lead was logged, along with their details and what stage they were at.

  • An online trial form
    Replaced the slow back-and-forth messaging. Leads could fill in their details, availability, and trial preferences upfront.

  • Automated emails
    As soon as someone enquired, they received an email with clear next steps. This meant fast contact, no delays, and fewer people losing interest.

Together, these changes meant Sam no longer had to manually chase every person. She could focus on coaching, and the system handled the rest.

The Results

Across the year (2024-2025):

  • 446 new leads

  • 396 trials booked

  • 140 new paying members

  • Countless hours saved in admin and follow-ups

Financially:

  • £6,000 invested into marketing

  • Over £30,000 returned in added revenue
